Search Enrollments

The Credentials page includes the option to search for enrollments created with a credential.

  1. Select Main Menu Main Menu > Credentials. The Credentials page opens.
  2. Click Search Search in the area for a credential. The Search Enrollment page opens and lists all of the enrollments for the credential.
  3. Click Filter Search Search Filter. The Search Panel dialog box opens. The Search Panel dialog box contains fields for each text or date field on the credential.
  4. Enter a date to search the enrollments associated with the selected date. Filter date search results with the following options in the date field drop down menu:
    1. Select None to disable to date search option.
    2. Select Exact = to search for one, exact date.
      1. Click the Date * field and select a date on the calender.
      2. Click Ok.
    3. Select Between <> to search within a date range.
      1. Click the Start Date * and End Date *fields and select a start and end date on the calender. Both start and end dates must be selected for search results to work.
      2. Click Ok.
  5. Enter text in a List field to search the enrollments for text in the matching field on the credential.

  6. Enter text in a Text field to search the enrollments for text in the matching field on the credential.

    For example, enter a name in the Name field to search the enrollments for that name.

  7. Click Search. Instant ID as a Service searches for enrollments that match the search criteria.
  8. (Optional) Adjust the rows per page by clicking the down arrow Down List and entering the desired number of searched credentials per page.
  9. (Optional) Navigate search result pages by selecting the desired page number on the pagination plane. Search for a specific page by entering the page number in the Go to page box and clicking GO.
  10. (Optional) Click the column headers to alphabetically sort indexed search results.

    Note: Sorting is not supported when issuing a Mobile Flash Pass.

    Note: Composite Fields cannot be sorted.

    Note: Sorting of credentials is enabled for all indexed fields in the internal database and for all text fields in the external database. For faster search results, create indexes in the external database. In a cloud database, numbers in enrollment text fields are sorted lexicographically (e.g., 1, 10, 2, 20). In an external database, if the text field is linked to a numeric column, numbers are sorted numerically (e.g., 1, 2, 10, 20). If the text field is linked to a character column, numbers are sorted lexicographically.

    Note: When sorting, ensure the printer input hopper is not empty to prevent prints from being out of sort order or encountering other printer errors.

    Note: If a card is not picked from the hopper, it is skipped and the next one is printed, but failed jobs are not retried to avoid disrupting the queue order. Manually resubmit failed jobs after resolving the issue. Only "Input hopper empty" errors are retried automatically.

    Note: An enrollment search may timeout if the photograph field is included and the total photograph size on the external file system exceeds 85 MB.

Note: The search and print queue pages are now available on the latest versions (15.5 and 12.0 or newer) of iOS/Android tablet devices. The Credentials page supports the option to search enrollments. Print, new enrollment, and print queue tracking access is also available. Search for enrollments on a tablet device following the same steps above.

Note: The Read Enrollment V2 API now returns exact matches only. On the user interface, search results will include Wildcard searches.

Note: The search page will have limited fields displayed whose order can be adjusted via Enrollment Design.
